  • File/Print
    • How do I save documents on my hard disk?

      Save to hard disk

      If you want to resume editing your label design at a later time, you can save your document locally. Select “File – Save to hard disk” from the menu. The file will be downloaded to you, where you can save it on your hard disk (file extension “eao”).

      The file cannot be edited with local software.

       

       

    • How do I save documents online?

      To save your label online

      If you want to resume editing your label design at a later time, save your document online by selecting “File – Save online” from the menu. A window will open where you can enter the name of the template and a description.

      Note: To save your labels online, you must be registered in HERMA LabelAssistant online.

       

       

       

       

    • How do I print documents?

      To print

      Select “File – Print” from the menu or click on “Print” directly. A PDF document will be generated which you must download to your PC. The “Print” button in the window automatically opens the PDF document in Adobe Reader. This is a good opportunity to check it before printing.

      You can then print the document on a suitable label sheet in the usual manner.

      To ensure that the label design is exactly placed on the sheet, HERMA LabelAssistant online automatically sets “Page Scaling” in Adobe Reader to “None”.

      Note: The perforated lines on the labels are not shown in the PDF document; otherwise, they would be printed out.

      If the PDF file is opened in your browser, first save it on your hard disk. Do not print from your browser window as this can lead to incorrect placement.

       

       

    • How do I return to the start page?

      To return to the start page

      Select “File – Close/Start page” from the menu or click on the “Back to overview” button under the language selection. This closes the current label and takes you back to the start page.

       

       

       

    • How do I deselect?

      Deselect all

      Cancel the current selection by clicking on an empty part of the label.

    • How do I insert text?
    • How can I use different font sizes in my label?

      To use different font sizes

      Please note that only one font size can be used per text field. If you want to have text of a different size, create a separate text field for this purpose.

      Tip: Use the grid to align different text fields.

       

       

       

    • How do I change the text properties?

      To change text properties

      Select a text object by clicking on it. The icons for text properties will appear below the menu. Use them to change the font, font size, font style and font colour. Active text objects are accompanied by 4 icons. Use the icons to delete the text object (top left), rotate it (top right), adjust the size (bottom right) and orientation, and to change the object level (bottom left).

       

       

    • How do I align text?

      To change the alignment

      Select a text object by clicking on it. To change the alignment, choose an alignment from the text properties below the menu.

      To align the entire text object in the label, click on the properties icon in the lower left-hand corner of the active text field. Here you can set the horizontal and vertical position of the text field.

      Tip: You can activate the grid at the left of the label. The grid helps you align elements on the label.

       

       

    • How do I change the font colour?

      To change the font colour

      Select a text object by clicking on it. To change the font colour in the text field, choose the corresponding icon from the text properties below the menu.

      You can choose from 28 colours or specify the colour as an RGB value (such as 255, 0, 0 for red) or hexadecimal value (such as FF0000 for red). Click on “Apply” to confirm your selection.

       

       

       

    • How do I change the font size?

      To change the font size

      Select a text object by clicking on it. You can enter the font size directly in the text properties below the menu (min. 4, max. 72) or adjust the size of the text field by clicking on the icon at the lower right of the text field and holding down the mouse button.

       

       

    • How do I insert a rectangle?

      To insert a rectangle

      Select “Design – Shape” from the menu and click on the rectangle icon. Holding the mouse button down, make a rectangle of the required size. You can the change the size of the rectangle by pulling the yellow icons at the corners of the active rectangle.

      Click on the rectangle object to open the object settings below the menu. Here you can change the fill colour, border colour and border thickness. You can also round the corners of the rectangle.

       

       

       

    • How do I insert a circle?

      To insert a circle

      Select “Design – Shape” from the menu and click on the circle icon. Holding the mouse button down, draw a circle of the required size. You can then change the size of the circle by pulling the yellow icons.

      Click on the circle object to open the object settings below the menu. Here you can change the fill colour, border colour and border thickness.

       

       

       

    • How do I insert a line?

      To insert a line

      Select “Design – Shape” from the menu and click on the line icon. Holding the mouse button down, draw a line of the required length. You can then change the length and inclination of the line by pulling the yellow arrow icon on the active line object.

      Click on the line object to open the object settings below the menu. Here you can change the line colour and thickness.

       

       

       

    • How do I change the colour of an object?

      To change the colour of an object

      Select an object by clicking on it. You can then specify the colour of the fill and the border in the object settings below the menu.

      You can choose from 28 colours or specify the colour as an RGB value (such as 255, 0, 0 for red) or hexadecimal value (such as FF0000 for red). Click on “Apply” to confirm your selection.

       

       

       

    • How do I insert an image?

      To insert an image

      HERMA LabelAssistant online allows you to make use of any image stored on your hard disk. All you have to do is upload it.

      Select “Design – Image” from the menu and click on “Upload image”. A browser window will open, allowing you to choose an image file. The image that you choose will be shown in the middle of your label. Click on the object to activate it and move it where you want or change its size. To deactivate the object, click in the work area.

      Note: The graphic formats JPG, GIF, TIFF, BMP and PNG are supported. Please make sure that your image does not exceed the maximum file size of 5 MB.

       

       

    • How do I create identical labels?

      To design identical labels

      An especially useful option, available under “Design – Page view”, is to specify an identical design for all the labels. After designing one label you can print out a whole sheet of the same kind.

       

       

       

    • How do I design labels individually?

      To design labels individually

      This mode permits you to design each label individually. You will find this option under “Design – Page view”.

      The label currently being worked on is highlighted in white. Change to a different label by clicking on a different field on the sheet.

      Labels already containing objects will be highlighted in dark blue. This helps you to find labels you have edited.

       

       

       

    • How do I move an object?

      To move an object

      Click on an object to activate it. When an object is activated, it has yellow icons on its borders. While holding down the mouse button, drag the object in the work area.

      If you move an object outside the printable area, you will get an error message and your label will have a red border.

       

       

       

    • How do I rotate an object?

      To rotate an object

      Click on an object to activate it. It will then have yellow icons on its borders. Click on the circular arrow in the upper right-hand corner. Holding down the mouse button, rotate the object.

      Tip: By holding down the shift key, you can rotate an object in steps of 15°. This permits you to set it at exact angles like 45° or 90°.

       

       

    • How can I change the view size?

      Change view

      To the left of your label is a slide control that either enlarges (max. 800%) or reduces (min. 25%) the view of the area you are working on.

      That means that you can design even small labels with ease. The current zoom factor is displayed when you touch the slide control with the cursor.

       

       

    • How do I align an object?

      To align an object

      The grid option to the left of your label shows grid lines, allowing you to position objects exactly. When you move an object, it is aligned to the grid, making it easy to position a number of objects just where you want them.

      You can also align an object using the object properties. Select the properties icon in the lower left-hand corner of the object. Here you can set both the horizontal and vertical position of the object.

       

       

    • How do I change the sequence of object layers?

      To change the sequence of object layers

      Click on an object to activate it. It will then have yellow icons on its borders. Select the properties icon at the lower left. Here you can move the object to different layers. You can also move it to the very top or very bottom layer.

       

       

       

    • How do I adjust the size of an object to the size of the label?

      To adjust an object to the size of the label

      It is easy to adjust an object to the size of the label. Select an object by clicking on it. It will then have yellow icons on its borders. Select the properties icon at the lower left. Then select “Adjust size to label”. Your object will now have the same size as the label.

      Tip: Put your object into the background to make your other objects visible

       

       

       

    • How do I switch between portrait and landscape?

      Portrait/landscape

      You can make any label in either portrait or landscape format. This is especially useful for file spine labels. Select “Design – Properties” from the menu to switch between portrait and landscape.

      Tip: When you switch from portrait to landscape format in HERMA LabelAssistant online, the label is rotated by 90 degrees for display. However, you must still feed the label sheet to the printer in the usual manner. There is no need to change any settings in Adobe Reader.

       

       

       

    • How do I copy an object?

      To copy an object

      To copy an object which you are going to need more than once, click on the Copy icon to the left of your label. The selected object will be transferred to the clipboard.

      Use the Insert icon next to it to insert the copied object into the label.

      Tip: Use the shortcuts Ctrl+C to copy and Ctrl+V to insert.

       

       

       

    • How do I delete an object?

      To delete an object

      Click on an object to activate it. It will then have yellow icons on its borders. To delete it, click on the Delete icon in the upper left-hand corner or press the Del key.

       

       

       

    • How do I change the background colour of my label?

      To change the background colour

      You can assign a different colour to each label. Select “Design – Properties” from the menu. Here you can choose from 28 colours or specify the colour as an RGB value (such as 255, 0, 0 for red) or hexadecimal value (such as FF0000 for red).

      Note: For technical reasons it is not possible to print coloured labels in white (text or logos).

       

       

       

    • Can I copy the contents of one label to another?

      To copy from one label to another

      If you want to copy the contents of one label to another, you must first save the target label on your hard disk or online. Select an object and copy the contents using the Copy icon at the left of your label or use the shortcut Ctrl+C. Do not close the label file because this will cause the information to be deleted from the clipboard. Open the target label by selecting “File – Open file from hard disk / Open a file saved online”. Insert your object using the Insert icon at the left of your label or the shortcut Ctrl+V.

      You can also copy label contents when designing them individually. Select an object and copy it using the Copy symbol or the shortcut Ctrl+C. Then switch to the label to which you want to copy the object. Insert the object using the Insert icon at the left of your label or the shortcut Ctrl+V. The copied object will remain in the clipboard until you copy another object or quit HERMA LabelAssistant online.

       

       

       

  • Mail merge
    • How do I merge documents?

      To merge documents

      Select “Mail merge” from the menu and click on “Here we go”. Select an Excel or CSV file from your computer to use for the mail merge.

      Note: Make sure that your file has the correct structure. The first row is used to assign the placeholders. Your Excel file should therefore have a column heading in the first row. Column headings must not contain special characters or spaces.

      Uploading your file might take a few moments. After it has been uploaded, select the fields for your label by activating the corresponding checkboxes. Double-clicking of a checkbox activates/deactivates all the fields. The fields are created contiguously as standard. This is especially useful for pairing first and last names or postcodes and cities. It ensures that the fields do not overlap or get separated by too much space. Your address labels will have a professional look. To deactivate this function, click on “Set up selected fields individually”. Use this method to create as many merge fields as you need.

      When you are finished, use the PDF preview to check your labels. Certain text fields might be too small, in which case you will have to adjust your layout.

      To edit selected fields which you have created, click again on “Mail merge” in the menu.

       

       

       

  • Bar code / QR code
    • How do I insert a bar code?

      To insert a bar code

      Select “Barcode/QR code” from the menu and click on “Barcode”. In the window which opens, first select the barcode type and then enter the data. Then click on “Generate barcode”. You can move or rotate barcode on the label as with any other object. You can also insert a barcode when merging documents. After uploading your file, select the “Set up barcode/QR code” checkbox. Then specify the fields for which you want to create a barcode.

       

       

       

    • What types of barcode are there, and what characters may I use?

    • How do I register?

      Registration

      There are two ways to register. Go to www.herma.de/en/service/free-software/herma-labelassistant-online.html and click on the grey “Login” button on the right. Then click on the “Register” button. Alternatively, you can click on “Register” in the menu of HERMA LabelAssistant online.

      When you register, you must supply certain information. This information will be used only for managing your personal account. The HERMA data protection rules apply. You can read them when you register.

      For security reasons you will receive a confirmation link by e-mail. Click on this link to activate your account. The online functions of the HERMA LabelAssistant online will then be available to you.

      If you do not receive a confirmation by e-mail, please check your spam folder.

      Log in using your e-mail address and your personal password.

      Tip: You can also save your login information. Then you won’t have to enter it again each time.

      To add LabelAssistant online to Favourites

      It’s easy to add HERMA LabelAssistant online to your browser favourites. The process is slightly different depending on the browser.

      To set a bookmark for HERMA LabelAssistant online, click on the star at the right of your address bar or select “Bookmarks – Bookmark This Page” in your browser.

      If the star in the address bar is yellow, you have successfully added HERMA LabelAssistant online to your Favourites.

       

       

    • How do I select a different label?

      To select a different label

      When selecting a different/additional label, make sure that your current label design has been saved online or on your hard disk for later editing.

      Select “File – Close/Start page” from the menu or click on the “Back to overview” button under the language selection.

      You can then enter a new article number or open a document that was saved on your hard disk.
